Looking to hire a student for a new position?

  1. First, create the job. In Workday, you'll do this by starting a job requisition using your student employee management profile, also known as your supervisory organization

*If you do not have a supervisory organization in this format: Department Name (Students) (Your Name), please contact the Student Employment Office to create one for you.

  2. Once the job requisition is approved, the Student Employment Office will post it for one month by default. If you require the posting to be visible longer than that, please contact the Student Employment Office
  3. Once students apply to your job requisition, you can begin reviewing applications.
  4. You may decline all other candidates once you have selected students to move forward in the hiring process.

*Detailed video instructions on hiring students using a job requisition can be found here.

*Detailed written instructions can be found here.

  5. You will complete the costing allocation task if the position is paid through a fund other than your general department fund. If the position is paid by the department or office, it can be manually skipped.

*A student's hire isn't finalized until this task is either completed or manually skipped.

Looking to hire a student for an existing position?

  1. If the job needs to be updated, you can edit the job requisition before having it posted by the Student Employment Office.

    * Only the Student Employment Office can post and take down jobs. If your job does not require editing, please contact the Student Employment Office to have the job re-posted for applicants to view.

  2. Complete the hiring process as you would with a new job requisition.

Things to Remember:

A student hire will not be shown as active until the entered effective date.

If the student position requires work with minors, contact the Student Employment Office to have the student complete a CORI background check.

If this is a student's first job on campus, they will be prompted to complete onboarding tasks, which must be completed within the first few days of work.

Once a student is no longer working in their position, please end the student's job.
