Consult the following Zoom videos for guidance on the initial configuration of your Zoom phone application. Please note that this setup will only need to be done once. The page headings are equipped with hyperlinks to make return visits to this page easier and streamline video navigation.

Under the Call Handling section you will learn how to setup business hours, Holiday hours, and configure your voicemail. Initial Setup

  • Sign in to https://amherstcollege.zoom.us/ and click "Phone" in the left sidebar menu.
  • Confirm country, area code (413), time zone (UTC-05:00, Eastern Time), and set your voicemail PIN.
  • Click "Setup" button to save.

Settings

  • In the Phone section, click the Settings tab.
  • Confirm that your correct phone number is listed. 
  • Enter your campus and/or personal address. These will be provided to emergency services in the event of a 911 call.

Additional Options

  • Call Queue Membership: Choose if you want to receive queue calls or not. If you have multiple memberships, you can edit which you get calls from and which you do not. 
  • Call and voicemail delegation: Grant others access to answer your calls, make calls from your extension and access your voicemail. 
  • Desk phone configuration: Change your pin code and set the desk phone screen to lock. 
  • Block list: Set rules on which numbers will be automatically blocked.

Calendar Sync

  • Select profile in the left sidebar menu. Scroll down to the bottom of the page and under Other you will see an option to Configure your Calendar. 
  • Select Google Calendar and login. You may be prompted to give Zoom certain permissions. 
  • Zoom will now be properly synced with your calendar.

Call Handling

  • Click Phone in the left sidebar menu, and then the Settings tab at the top. 
  • In this section you decide how to handle incoming calls. You can configure your business hours, devices, wait times, and voice mail. 

Business Hours

  • Set the days and hours that you wish to receive calls. 

  • Set which devices the call rings on (desk phones, desktop apps, or mobile apps.)

  • Here you can change the order in which devices ring, as well as how long a person would have to wait while each device rings.

Voicemail

  • Use the Zoom text-to-speech to set your voice mail greeting, or upload your own voice recording.

Closed Hours

  • Here you decide what happens if someone calls after business hours. 

  • You can set the call to go to your voicemail or send the call to an Operator.

Holidays

  • Click Manage next to Holidays to set specific days and times with specific call handling. 

  • These days only need to be set once and will override any other rules you have set that would normally be applied for that day.
